Overview
We are looking for a highly organised and proactive Sales Administrator to support in managing key retail and amazon accounts. This is a foundation role that will be central to the smooth operation of our commercial activities, from managing product data to supporting cross-functional initiatives. You will work closely with internal marketing, finance, and operations teams, providing critical support that enables the team to deliver on ambitious growth plans.

Description
1. Retailer Account Management
- Manage item life-cycle – oversee existing product maintenance and new item setup across all commercial retailers and Amazon
- Manage promotional submissions and track performances
- Proactively track deadlines for new item submissions, promotional windows, and reporting requirements, alerting cross-functional teams as needed
- Upload and maintain accurate product data (pricing, images, descriptions, pack sizes, compliance details)
- Key point of contact for select accounts across various brands
- Become well-versed in retailer portals to serve as the internal “go-to” for portal navigation and troubleshooting
- Attend retailer meetings as needed
2. Support Amazon account management
· Liaison between agencies and the internal team
· Work with cross-functional partners to manage AMZ shipment processes in collaboration with supply team + AMZ agencies
· Provide updated content to Amazon agencies for all brands as needed while ensuring content is saved down on the drive
3. Trade Marketing
- Manage content optimization across retailer websites by ensuring all product pages (PDPs) are updated in line with the brand masterfile/brand book via Syndigo and other platforms
· Assist commercial teams with visual merchandising (VM) and point-of-sale (POS) submissions, ensuring timely delivery of assets and compliance with retailer requirements
· Own retailer content: briefing asset needs based off the global master assets and ensuring correct cataloguing in the retailer drives
· Support in ad-hoc retailer requests for content, copy or samples
4. Financial & Administrative Support
· Act as a liaison between Sales and Finance to ensure both teams have consistent, accurate data
· Update commercial workbooks- promotional calendars, contact information, pricing, distribution, etc.
· Assist finance team on AP/ AR reconciliation and AP follow ups
· Verify promotional spend/ chargebacks against the agreed on JBPs
· Maintain up-to-date records of contracts, terms, and allowances for Finance reference
5. Cross-Functional Collaboration & Reporting
· Pull weekly sales from all retailer portals and Amazon; update and maintain EPOS reports by SKU and retailer
· Distribute accurate sales reports and highlight key trends to Sales, Finance, and Marketing to support forecasting and planning
· Engage in team meetings and strategy sessions, contribute insights, support collaborative initiatives
Profile
A successful Sales Administrator should have:
- Previous experience in an administrative, operations or business support role
- A passion for the beauty industry
- Desire to progress and be part of a fast growing start up
- Strong organisational skills and attention to detail.
- Proficiency in Microsoft Office applications, particularly Excel and Word.
- Excellent communication skills, both written and verbal.
- A proactive approach to problem-solving and multitasking.
- The ability to work effectively as part of a team and independently
